Checking into a hotel? This is how you should share a copy of your ID, according to the Police

The recent entry into force of Royal Decree 933/2021 has increased greatly the data that establishments and users must provide to the Ministry of the Interior, not to the Police as until now, when they carry out activities such as check into a hotel or rent a vehicle. Among the new data, those referring to the ID and this raises new doubts. Do I have to provide a copy of the DNI or is it enough to provide the information? And if I provide a copy, How to do it in a safe way that prevents it from being used for illicit purposes if it falls into the wrong hands?

Although the Royal Decree does not establish an obligation to provide a copy of the DNI, it does indicate that the lodging establishments ‘will be responsible for the accuracy of the data recorded in them (parts and sheets), so that they coincide with the documents or systems that prove the identity of people, that must be displayed or provided by the users of these services‘.

The truth is that giving the option of providing a copy of the DNI to speed up the registration process is a practice that was already in use by some establishments, something that, on the other hand, Security Forces and Corps have always recommended avoiding, unless it is essentialfor better protection of citizens’ data.

Now, if you choose to send a copy of the DNI, what is the correct way to do it? The Police have explained it on numerous occasions, but it never hurts to remember it. It is necessary edit the imageboth to hide data that is not essential and to place a watermark that makes it clear that it is a shared copy for a very specific purpose. It is not a complicated task, but it can be carried out with any mobile phone, either using the Google Photos image editor, if the phone is Android, or the Photos one if it is an iPhone. In both cases, they are native applications of the operating system.

On a DNI it is advisable to delete everything other than information required for the registration operation. That is, everything other than the first and last name, sex, DNI number, nationality, date of birth, usual address – which may or may not coincide with the one appearing on the DNI, in the latter case it would not be useful – and the document support number. The rest can be removed from the image to make it difficult for that DNI to eventually be used fraudulently, for example, to open bank accounts or deceive third parties.

In any case, if you do not feel comfortable leaving that data on a copy of your ID, you will always have the option of Deliver what they ask for in text format, which is the safest option.

The last step, create a watermark that indicates the purpose for which that copy was created, you can also do it through the native Photos apps on Android and iOS.
